Applications for the 2008 King William Fair are closed. Please check back in the fall for information on participating in the 2009 King William Fair. Welcoming Notes:Thank you for your interest in the King William Fair. This event is dedicated to raising funds for arts, education, and community improvements, and your participation is appreciated. The Arts & Crafts at the King William Fair are one of the five equally important components of the Fair. Arts & Crafts, Entertainment, Food, the Parade, and the Kid’s Kingdom all combine to create a unique event. The Fair is not strictly an Arts & Crafts festival. Please read the instructions carefully; some items have changed. Click here for the Arts & Crafts Rules and Regulations, which contain additional important information. BoothsThe logistics of working within a sensitive historic setting and staging an event that draws thousands of guests on one day can be challenging. We make changes to the layout every year. To maintain approximately 150 Arts & Crafts vendors, we must work around utilities, property access and restrictions, security, and many other issues. In general, we separate Arts & Crafts vendors from Food vendors, and we try to evenly distribute the different types of crafts. We cannot honor requests for specific locations. Vendors are provided a 10 foot x 15 foot space on one of the neighborhood streets. Vendors are responsible for their own tent or canopy (limited to 12’ height), display fixtures, shelves, and storage. Vendors must stay within the booth boundaries and must not encroach on private property, yards, sidewalks, or driveways. If you need more space, you can purchase additional 10 foot x 15 foot spaces. The Fair does not provide electrical connections for Arts & Crafts vendors, and you may not obtain electricity from any of the houses. Electrical generators are not allowed. Logistics:The King William Fair charges $5 admission to all adults, including vendors. Children 17 and under are tree. Vendors will receive two complimentary admission wristbands. All vendors are responsible for collecting applicable sales tax. As a courtesy to us and to you, the Fiesta Commission will make available one-day liability insurance known as a "User Policy." The rate is $90.00 for the first booth and $65.00 for each additional booth. We allow a limited number of pre-packaged food vendors to participate in the Fair under the Arts and Crafts department, but we must collect a $35 fee to cover the mandatory health inspection. Additional details for accepted vendors are covered by the 2008 rules for Arts and Crafts vendors. Fees:Booth Fee: $225.00 per space (refundable per the refund policy) Processing Fee: $15.00 (non-refundable). Optional Liability Insurance Fee: $90.00 for the first booth and $65.00 for each additional booth (refundable per the refund policy) Mandatory Fee for Pre-packaged Food Vendors: $35.00 (refundable per the refund policy). Send a separate check for each fee. Make all checks payable to "King William Fair." If you are not selected to participate, your processing fee will not be refunded, but your other checks will be returned in your self-addressed, stamped envelope. We will charge you $25 for each check returned by the bank for insufficient funds. Refund Policy For Booth Fee:
Entry Criteria:Our selection process starts with completed applications. We do not have the resources to contact you about missing items, so please carefully follow the Application Package Checklist. Your completed application package should include 2-4 photographs of your artworks as they will be offered for sale at the King William Fair and 1-2 photographs of your booth display as it will be set up at the Fair. Photos must be an accurate representation of the artwork/crafts you intend to sell. Those vendors who do not display items depicted in their applications may be asked to leave the Fair. Please do not send product samples; we do not have storage space or the resources to return them. Likewise, we will not return your photographs. We look for hand crafted items and a wide selection of category and price. All items must be handmade by the participating vendor (not just designed); NO EXCEPTIONS. Handmade is a difficult term to qualify, so in general, we do not accept items that are less than 50% handmade. Participation in previous King William Fairs does not guarantee acceptance for the 2008 Fair. Inquiries questioning or disputing the committee’s decisions will not be accepted. Deadlines:January 16, 2008, 1st Round: acceptance notices by email on or about February 1, 2008 March 12, 2008, 2nd Round: acceptance notices by email on or about March 28, 2008 Applications must be received in the KWA office by the applicable deadline. Applications postmarked on or before the deadline, but delivered after the deadline, will be considered late. Applications dropped off at the KWA office after 2:00 pm on the applicable deadline will be considered late. We strive to meet our notification deadlines. Please do not drain our volunteer resources by inquiring about the status of your application until ten days after the applicable notice date has passed. We will send notification of acceptance or rejection by email only. April 1, 2008: last date to receive a refund April 26, 2008: King William Fair Day (one-day event) NO RAIN DATES. The King William Fair goes on rain or shine. The Fair is not responsible for goods damaged due to inclement weather. Application Package Checklist:Incomplete applications will not be processed.
